Learn how to charge an existing payment method

Where to Find the Charge Payment Method Option

The ability to charge a payment method is located within the Project Financial Page in Albi. Here, you can view all associated payment methods for a project and initiate a charge.


Step-by-Step Guide to Charging a Payment Method

1. Start the Charge Process

  • Navigate to the Project Financial Page.

  • Click the 'Payment Methods' button in the top right of the tab.

  • Click the Charge Payment Method button next to the selected payment method.

2. Enter Charge Details

A modal will open, prompting you to enter charge details. Some fields are prefilled based on the selected payment method and project relationship:

  • Billed To (Prefilled and non-editable): Displays the associated relationship name.

  • Payment Method (Prefilled and non-editable): Displays the selected payment method.

  • Reference No. (Required): Enter a payment reference number.

  • Charge Amount (Required): Enter the dollar amount to charge.

    • If an invoice is linked, supportive text will display: "The open balance for this invoice is [dollar amount]."

    • If the charge amount exceeds the invoice balance, a warning will appear: "Request Amount is greater than the open balance for the invoice."

  • Link an Invoice:

    • Select an invoice from the list of existing invoices associated with the project.

    • If no invoices exist, this field is disabled, and a tooltip will display: "No Invoices exist associated with this project."

  • Email Message (Optional): Enter a message to accompany the charge notification.

3. Confirm the Charge

Once all required fields are filled, click Charge Payment Method to proceed. A confirmation modal will appear, summarizing the charge details:

  • Billed To (Non-editable)

  • Payment Method (Non-editable)

  • Reference No. (Non-editable)

  • Charge Amount (Non-editable)

  • Linked Invoice (Only displayed if selected previously)

  • Email Message (Only displayed if entered previously)

The confirmation modal will ask, "Are you sure?" To finalize the charge, click Yes, Send the Charge.


Important Notes & Validations

  • The Reference No. and Charge Amount fields are required.

    • If the entered charge amount exceeds the invoice’s open balance, a warning will appear.

  • If no invoices exist, the Link an Invoice field remains disabled.

    • The modal design follows Albi’s UI consistency for an intuitive experience.

    • If payment processing fails, error handling will guide you through resolving the issue.


Troubleshooting & FAQs

What if no payment methods are listed for my project?

Ensure that a payment method is linked to the project. If no payment methods exist, you will have to request one first.

Why is the 'Link an Invoice' field disabled?

If no invoices are associated with the project, this field will be disabled. You can check if invoices exist or create a new invoice.

What happens if a charge fails?

If the charge fails, an error message will be displayed. Double-check the payment details and ensure the payment method is valid.

When can I expect to see the money in my bank account?

The payment must first be processed then the deposit must be processed.

The time frame for payments to be processed is generally either T+1 for credit cards or T+4 for ACH deposits. The deposit must then be processed - processing time for deposits vary based on who you bank with.
