If your company uses QuickBooks Online (QBO) and Albi, you can now view and track Sales Receipts within Albi. This feature allows accounting teams to pull in Sales Receipts from QBO into Albi for better financial tracking and job costing.
Note: This feature does not allow users to create Sales Receipts in Albi and send them to QBO. Instead, it syncs existing Sales Receipts from QBO into Albi.
How It Works
Sales Receipts in QBO represent payments received without an invoice. This is commonly used for:
Initial deposits for jobs when no invoice has been issued yet.
Tracking customer payments when using QBO payment requests.
Reconciling bad debts in financial records.
Once a Sales Receipt is created in QBO, it is automatically synced into Albi. Any updates, voids, or deletions in QBO will also reflect in Albi in real time.
Syncing Sales Receipts: Actions and Behavior
The Sales Receipts feature in Albi mirrors the following QBO actions:
1. Create
A Sales Receipt created in QBO automatically appears in Albi.
Includes details such as payment method, product/service, amount, tax, and total.
2. Edit
If you edit a Sales Receipt in QBO (e.g., adding an item or adjusting the amount), it updates instantly in Albi.
Changes update financial KPIs, such as Total Payment Amount and Outstanding Balance.
3. Void
A voided Sales Receipt in QBO appears grayed out in Albi.
The amount is removed from the total payment calculations.
No further actions can be taken on voided receipts in Albi.
4. Delete
A deleted Sales Receipt in QBO is completely removed from Albi.
No record remains in the Sales Receipt grid.
Financial Impact in Albi
Sales Receipts impact the following key financial metrics:
Total Payment Amount: Sum of all payments and Sales Receipts.
Outstanding Balance: Total invoice amount minus all payments and Sales Receipts.
Job Costing: Helps track initial deposits vs. bad debts for accurate project financials.
